Two Subscriptions Replaced, Over 90% of the Cost Gone

An Amazon agency managing more than 40 seller and vendor accounts was paying for two analytics platforms. We replaced both with a platform they own. These are their real figures; the client name is withheld.

Yearly cost$31,468$2,448
Savings$2,418 a month, $29,020 a year (92%)

All amounts in USD. The original subscriptions (NZD $55,207 a year) are converted at 0.57 USD per NZD, the October 2026 rate.

Good and Bad Candidates

Not every subscription should be replaced. We will tell you when renting is the better deal.

  • Per-seat tools where your headcount keeps growing
  • Tools you use 10 to 20% of, at full price
  • Simple internal systems: lightweight CRM, intake forms, client portals, scheduling, inventory, dashboards
  • Tools that force your team into awkward workarounds
  • Anything where you are worried about losing your data
  • ×Payroll, tax, and accounting compliance
  • ×Email delivery and other infrastructure with deep network effects
  • ×Heavily regulated systems where the vendor carries the compliance burden
  • ×Tools that cost less than about $200 a month

How a Replacement Project Runs

1

Usage audit

We look at which features your team actually uses, how often, and where the current tool gets in the way.

2

Scope the core

A written spec of the features that matter, plus the workflow improvements you have always wanted. Fixed price.

3

Build in milestones

You see working software early and steer as it takes shape.

4

Migrate your data

Export, clean, and import your history into a database you own.

5

Run in parallel, then cut over

Both systems run side by side until your team is confident. Then you cancel the subscription.

We Replaced a SaaS Category for Ourselves Too

AI visibility tracking tools charge a monthly subscription. We built our own instead: an edge collector on our website, a relay API, a Postgres database, and a desktop dashboard. It was good enough that we sold it as a product, BotSight. Read the case study →

SaaS Replacement Questions

Is it legal to build our own version of a SaaS tool?

Yes. Building software that does the same job is normal competition. We build functional equivalents of the features you use. We do not copy anyone's proprietary code, designs, branding, or content, and we review your contract for data export rights before migration.

What happens to our data?

We export it from the current tool, clean it, and migrate it into a database you own. Both systems run side by side until you are confident, then you cancel the subscription.

Who maintains it after launch?

Your choice. Everything is documented so any competent developer can maintain it. Many clients keep us on a retainer for updates and new features.

What will it cost to run?

Typically hosting plus any third-party services it uses, billed to your own accounts. For most internal tools that is a small fraction of the subscription it replaces. We estimate it in the proposal.

What if we need a feature the SaaS added later?

You build it when you need it, exactly how you want it. That is the advantage of owning the software: the roadmap is yours.

Which Subscription Would You Cancel First?

Tell us the tool, how many people use it, and what it costs. We will tell you honestly whether replacing it makes sense.
